KI-001: Invoice Visibility in My Pymble Portal Not Yet Implemented

  • Description: After parents complete payment setup and invoices are generated in NetSuite, the invoices are not yet sent back to the My Pymble portal for parent visibility. Parents currently receive invoice notifications by email only.
  • Impact: Parents cannot view their invoice history or payment status within the My Pymble portal — they must refer to email.
  • Workaround: Invoices are emailed to parents once paid in full.
  • Resolution: In progress — the team is working on sending invoices back to the portal.

KI-002: Billing Orders Can Be Accidentally Closed

  • Severity: Low
  • Reported By: Ash Alexander
  • Reported Date: 2026-02
  • Description: A billing order (sales order) can be accidentally set to "Closed" status, preventing further invoice generation from it.
  • Impact: The school cannot generate the next term invoice ("Next Bill") from a closed billing order.
  • Workaround: Expose the "Closed" checkbox field on the billing order record form and uncheck it to reopen the billing order.
  • Root Cause: Standard NetSuite sales order behaviour — closing is a standard action that can be triggered unintentionally.
  • Resolution: Consider adding a warning or restricting the close action on the billing order form via customization.
